Terms of Service

Effective date: October 12, 2026

The short version

  • Expense Control Hub helps you plan budgets and find expenses to cut or review. It is decision support, not tax, legal, accounting, or investment advice. You make the final calls.
  • Upload summary business financials only. Do not upload health information or personal data about your patients, customers, or employees.
  • Your data belongs to you. We don't sell it, and you can export it or delete it.
  • You're responsible for who you invite into your company workspace and what access you give them.

This summary is for convenience. The full terms below are what apply.

1. Who we are

Expense Control Hub (the "Service") is a product of SMB Strategy Consultants, operated by SMB Strategy Consultants, LLC, a Georgia limited liability company ("SMBSC," "we," "us," or "our"). The Service includes the website at expensecontrolhub.com and the Expense Control Hub web application at app.expensecontrolhub.com.

2. Accepting these terms

By creating an account, accepting an invitation to a workspace, or using the Service, you agree to these Terms of Service and our Privacy Policy. If you use the Service for a business, you confirm that you are authorized to accept these terms for that business, and "you" includes that business.

You must be at least 18 years old to use the Service. If you don't agree to these terms, don't use the Service.

3. What the service does

The Service lets you upload summary financial information about your business and use it to plan. Depending on what you provide, it can:

  • Read summary financial statements (such as profit & loss, balance sheet, and cash flow) and Excel or CSV files;
  • Track expense lists, contract dates, debt details, and how profit is allocated across business channels;
  • Calculate budgets using the "Salary Cap" method; and
  • Produce cut and review lists, action checklists, and reports.

We may add, change, or remove features over time. We'll try to give reasonable notice before removing a feature that paying customers rely on.

4. Not professional advice

The Service is a decision-support tool. It does not provide tax, legal, accounting, or investment advice, and using it does not create an advisor, fiduciary, or client relationship with us.

Budgets, lists, and reports are calculated from the information you enter and the assumptions built into the method. They may be incomplete or wrong if the inputs are incomplete or wrong. You are responsible for reviewing the outputs and for every business decision you make, including cutting expenses, ending contracts, changing pay, or paying down debt. Talk to a qualified professional before making decisions with tax, legal, or financial consequences.

If you separately hire SMBSC for consulting services, that engagement is governed by its own agreement, not these terms.

5. Your account and workspaces

  • Accurate information. Give us accurate sign-up information and keep it current.
  • Security. Keep your sign-in credentials private and tell us right away at corbin@smb-sc.com if you think your account has been accessed without permission. You are responsible for activity under your account.
  • Company workspaces. Data is organized into company workspaces. Each workspace has members with roles: owner, admin, editor, or viewer. Roles control what each member can see and change.
  • Who you invite. The account holder and workspace owners are responsible for who they invite, the role each person gets, and removing access when it is no longer appropriate. Anyone you invite can see the workspace data their role allows. Make sure you have the right to share that information with them.

6. What you may upload

The Service is designed for summary-level business financials, such as statement totals, expense line items, vendor and contract information, and debt balances.

Do not upload:

  • Protected health information (PHI) or any other health or medical information;
  • Personal data about your patients, customers, clients, or employees (for example, names tied to individual payroll, Social Security numbers, account numbers, or payment card data);
  • Government ID numbers, bank login credentials, or full bank or card account numbers; or
  • Anything you don't have the right to share.

We are not a HIPAA business associate and will not sign a business associate agreement. The Service is not designed to meet HIPAA, PCI DSS, or similar requirements for regulated data. If you upload restricted information anyway, you do so at your own risk and you are responsible for any consequences. We may delete such content when we become aware of it.

7. Your data

You own the information and files you upload ("Your Data"). You give us a limited permission to host, store, copy, process, and display Your Data only as needed to run the Service for you, support you, keep the Service secure, and comply with the law.

  • We do not sell Your Data.
  • We do not use Your Data for advertising.
  • We do not send your financial data to artificial intelligence (AI) services for processing.

Workspace owners can export a company's full data to Excel at any time while the workspace is active. Our Privacy Policy explains how we handle information in more detail.

If you send us suggestions or feedback, we may use them to improve the Service without any obligation to you.

8. Acceptable use

You agree not to:

  • Use the Service for anything illegal, fraudulent, or deceptive;
  • Upload malware or content that infringes someone else's rights;
  • Try to access accounts, workspaces, or data that aren't yours, or probe, scan, or test the Service's security without our written permission;
  • Disrupt or overload the Service, or scrape it with automated tools;
  • Copy, resell, or reverse engineer the Service, or use it to build a competing product; or
  • Share your sign-in with people who should have their own account.

9. Subscriptions and billing

Some or all of the Service may require a paid subscription. Plans may be billed monthly or annually, and we may offer limited promotions such as a founding-member offer. Current plans and prices are shown at sign-up or checkout.

  • Payments. Payments are processed by PayPal. We do not store your full card number. Your use of the processor is also subject to its terms.
  • Auto-renewal. Subscriptions renew automatically at the end of each billing period until you cancel. For annual plans, we will email a reminder at least 15 days before each renewal.
  • Cancelling. You can cancel at any time by using the billing page in your account settings or by emailing corbin@smb-sc.com. Cancellation takes effect at the end of the current billing period, and you keep access until then.
  • Refunds. Monthly fees are non-refundable. Annual plans can be refunded in full if you cancel within 14 days of your first annual payment. One-time setup services are non-refundable once the setup session has been held. Otherwise, payments are non-refundable except where required by law.
  • Price changes. We will give at least 30 days' notice before a price change applies to your subscription. Founding-member pricing terms will be stated in the offer itself. Unless the offer says otherwise, founding-member pricing is locked for the first 12 months of a continuous subscription.
  • Taxes. Prices do not include taxes unless stated. You are responsible for applicable taxes.
  • Non-payment. If a payment fails, we may suspend paid features after 7 days' notice.

10. Third-party services

The Service relies on outside providers, including Convex (application database and file storage) and Netlify (website hosting). If you choose to export data to Google Sheets, that copy is saved in your own Google Drive and is governed by your agreement with Google. You can disconnect Google access at any time. We are not responsible for third-party services we don't control. Demo bookings are handled through Motion's scheduling tool.

11. Our intellectual property

We (and our licensors) own the Service, including its software, design, the Expense Control Hub name and logo, and our materials describing the Salary Cap method. These terms give you a limited, non-exclusive, non-transferable right to use the Service for your internal business purposes while your account is in good standing. You may use reports and checklists the Service creates from Your Data for your own business, including sharing them with your team and advisors.

12. Deleting a company or account

  • Grace period. When an owner deletes a company workspace, it can be restored for 7 days. After 7 days, the workspace and its uploaded files are permanently deleted from the live Service.
  • Backups. Copies may remain in periodic backups for up to 30 days before they are overwritten. We do not restore individual workspaces from backups on request.
  • Export first. Before deleting, owners can export the company's full data to Excel. Once permanent deletion happens, we can't recover it.
  • Closing your account. To close your user account, email corbin@smb-sc.com from the email address on the account.

13. Suspension and termination

You may stop using the Service at any time. We may suspend or end your access if you materially break these terms, fail to pay, create a security or legal risk, or if we stop offering the Service. Where reasonable, we'll give notice and a chance to export Your Data first. If we discontinue the Service entirely, we will give at least 60 days' notice. Sections that by their nature should survive (such as ownership, disclaimers, limitation of liability, and disputes) survive termination.

14. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE FULLEST EXTENT ALLOWED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, AND NON-INFRINGEMENT. We do not promise that the Service will be uninterrupted or error-free, or that any savings, profit, or financial outcome will result from using it. Examples and figures on our website are illustrations, not guarantees.

15. Limitation of liability

TO THE FULLEST EXTENT ALLOWED BY LAW: (a) WE ARE NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, DATA, OR BUSINESS OPPORTUNITIES, INCLUDING LOSSES FROM BUSINESS DECISIONS YOU MAKE BASED ON THE SERVICE; AND (b) OUR TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE IS LIMITED TO THE GREATER OF THE AMOUNT YOU PAID US FOR THE SERVICE IN THE 12 MONTHS BEFORE THE CLAIM OR US $100. Some places don't allow certain limits, so some of these may not apply to you.

16. Indemnification

You agree to defend and hold us harmless from claims by third parties arising from Your Data (including any restricted data you upload despite Section 6), your misuse of the Service, or your violation of these terms or the law.

17. Governing law and disputes

These terms are governed by the laws of the State of Georgia, without regard to conflict-of-laws rules. Before filing a claim, each side agrees to try to resolve the dispute informally by contacting the other for at least 30 days. Any dispute not resolved informally will be handled in the state or federal courts located in DeKalb County, Georgia, and both sides consent to that venue. Either side may bring a qualifying claim in small claims court instead.

18. Changes to these terms

We may update these terms from time to time. We'll change the effective date above, and for material changes we'll notify account holders by email or in the app at least 30 days before the changes take effect. If you keep using the Service after changes take effect, you accept the updated terms. If you don't agree, stop using the Service and you may export and delete your data.

19. Other legal terms

These terms, together with the Privacy Policy and any order form or offer terms you accept, are the entire agreement between you and us about the Service. If any part is found unenforceable, the rest stays in effect. Our not enforcing a right is not a waiver. You may not transfer these terms without our consent; we may transfer them as part of a merger, acquisition, or sale of assets. Neither side is liable for delays caused by events beyond its reasonable control.
